Letter

To create a letter, choose the client and go to Client Details>Reports. Select the form by choosing arrow to left the row labelled Correspondence.

You will be brought to a Data Entry Screen with the bank of letters that you generally send.

Data Entry

Choose the template that reflects the letter you want to send by clicking arrow to left of row (see cursor on image above). You can make any changes to the template, for this particular instance of the letter, by typing in the detail area below.
Next, choose the 'To' button and a list of your contacts will be displayed to choose from. You could add a contact from here by clicking the Plus Button (+). There is also a button to add the client's address information as the 'To'. You can always type directly into the detail area to input information.
The 'RE:' and 'CC:' buttons display standard comments. There is also a button to add the client's name if you wish. As always, add to these banks of comments by using the (+). At the very least, you might want to put 'file' in the cc: portion.

Across the top menu:

Client Details
allow quick access to demographics.

Date of letter may be changed with the popup calendar.

Clear the body of the letter to start again, or choose another letter.

Spell Check as you perform a final proof of the letter.

View Doc to view letter and then save/ print/PDF it.

To add a letter template to the bank of letters available to you when you click the 'Letter' button, choose one that is similar and click the (+) button. This duplicate the letter and add it to the list with the work 'Copy:' in front of the title. This is reassurance that your original letter is still available to you. Add, delete, or modify the letter templates by using the 'eye' button to the right of the particular letter template row. This will allow you to customize the title and wording of any letter template.

Letter Template Modification

If you choose the 'eye' icon to the right of any letter row, a popup window will give the details of the template.

Ask yourself  'Is this a letter to...'   and then assign the letter to that category. Change its title so you know what you are looking for in the list. And then make changes to the body of the letter that will be available whenever you need it.

Click ViewDoc and you will be brought to the letter itself for tweaking and saving.

Preview Letter

ASIDE: If you choose to edit the letter on this form you may 'overrun' the signature line. If you click the 'Refresh' button on the left side of the line it should move it down.

  • Client Detail will bring you to Client Detail area.
  • Print will print the letter to send.
  • Save will save a copy of the letter.
  • PDF will put a PDF of the letter on your desktop. You can choose to encrypt it for emailing.
  • Edit Form will bring you back to Data Entry screen to make modifications.
  • Save will save a copy in client's record.
